Post-Conference Check-In Guide

Sigma SoCal Odyssey

How an Admin or Registration Team member signs in and records an attendee's check-in for either day of the conference.

October 22 & 23, 2026 · 5-minute task

You need

A staff account with Registration access

To know

The attendee's name or email, and which day(s) they attended

Result

The attendee's record shows a green check-in for each day attended

Step by Step

  1. 1

Sign in to the Staff Portal

On the website, open the Menu button in the top-right corner and choose Staff Login. You can also go directly to /login.

Sign in with your staff email and password, or the Sign in with Google button. You will land on the Staff Portal.

First time? Accept the invite email you received. No password yet? Use the Forgot password link on the sign-in page to set one.

  2. 2

    Open the Registration dashboard

On the Staff Portal, click the Registration card ("Attendees, check-in, badges, payments").

The Registration Dashboard loads the full attendee list automatically. The Live indicator in the header keeps the list current.

  3. 3

Pick the day the attendee attended

At the top of the dashboard, find the "Checking in for:" selector with two buttons:

    • · Day 1 — October 22, 2026
    • · Day 2 — October 23, 2026

After the conference, the dashboard no longer follows today's date, so always confirm which day is highlighted before you continue.

  4. 4

    Find the attendee

Use the search box to look up the attendee by name, email, badge name, institution, or Sigma chapter. The list narrows as you type.

You can also use the filter chips (for example Not Checked In) to see who is missing a check-in for the day you selected.

  5. 5

Check them in for that day

On the attendee's row, click the Check In Day 1 (or Check In Day 2) button.

The row turns green with a checkmark and the button is replaced by ✓ Day 1 (or Day 2). It saves instantly — there is no save button.

  6. 6

Check them in for the other day (if they attended both)

Check-ins are tracked per day. Checking someone in for Day 1 does not check them in for Day 2.

If the attendee came on both days: switch the day selector at the top to the other day, search for them again, and click that day's check-in button too. Both day chips on their row should now be green.

Good to Know

Made a mistake?

Click the attendee's row to expand it, then use the Undo Day 1 / Undo Day 2 link. The row keeps any other day's check-in.

"Day 2 only" on a row

Single-day registrants can only be checked in on the day they registered for. Switch the day selector to their day and the check-in button appears.

About check-in times

The time recorded is the moment you click the button. Post-conference corrections save today's time, not the original arrival time.

Sign out when done

Use the Lock button in the dashboard header (or Sign Out on the Staff Portal) when you finish working in attendee records.

If Something Goes Wrong

Can't sign in

Use the Forgot password link on the sign-in page to reset it. If your invite never arrived, ask the committee admin to resend it from the Staff Portal.

"Access Restricted" screen

Your account does not have the Registration role yet. An admin must assign your role (App Users in the app dashboard) — then sign out and back in.

Attendee not found

Try just the last name, the email, or the badge name. If there is still no record, the attendee may never have registered — contact the committee admin before creating one.

That's it — the attendee is checked in.
